MGA Faculty, Staff, & Students

Please submit a Banner Help Desk ticket HERE and select Data Request when prompted. We will respond to all requests within 3 business days and will let you know if we expect the request to take additional time. Please be as detailed as possible when submitting your request with all attributes needed such as Term, Student ID, Class, Major, Email, etc.

The MGA Banner Help Desk system is accessible both on and off campus.

Open Records Request

The Georgia Open Records Act, Official Code of Georgia (50-18-70), is a state statute that applies to all departments and individuals within Middle Georgia State University (MGA). The Act requires that public records be open and available for inspection by a requesting party within a reasonable amount of time after the receipt of the request unless exempted by law from disclosure (e.g., student educational records, medical records).

MGA’s University Counsel is the designated Open Records Officer, to whom all Open Records Act requests should be made. The Open Records Officer is responsible for ensuring compliance with the Georgia Open Records Act and coordinating the University’s search, retrieval, and disclosure of records pursuant to open records requests, subpoenas, and requests for production of documents for non-party.

MGA requires all written record requests to be made upon the duly appointed Open Records Officer. The 3-day response period begins when the Open Records Officer receives the written request. All requests must be received in writing via email to openrecords@mga.edu.

Once you receive the requested data please fill out and return the Request Receipt.

Open Records Process

Records shall be provided in their entirety without redaction to the Open Records Officer upon request. Failure to comply may result in penalties for the university employee under the provisions of the law.

Below is the Open Records Process to follow if you are one of the following:

1. MGA Faculty or Staff

Any Open Records requests must be forwarded immediately upon receipt to the Open Records Officer for initial response on behalf of MGA. It is not always clear that a request for documents is being made pursuant to the Open Records Act. An individual department should NOT contact the person making the request, even for clarification, unless directed to by the Open Records Officer. The Open Records Officer will evaluate the request. All requests must be received in writing via email to openrecords@mga.edu.

2. External Requestor

MGA requires all written record requests to be made upon the duly appointed Open Records Officer. The 3-day response period begins when the Open Records Officer receives the written request. All requests must be received in writing via email to openrecords@mga.edu.

Once you receive the requested data please fill out and return the Request Receipt.

3. Open Records Officer

Within three business days of receiving the request, O.C.G.A. § 50-18-70(f), the Open Records Officer will:

  • Notify the individual who made the request whether (and when) the records will be available, O.C.G.A. § 50-18-70(f)*,
  • determine whether the records can be inspected (or are legally excluded from inspection)
  • provide a cost estimate for search, assembly, copies, and
  • obtain authorization to proceed with responding to the request.
  • Open Records Officer will record responses and documents inside MGA’s Microsoft Teams’ Open Records Requests files.

* The custodian must provide a timely schedule even if it will take more than three days to assemble and produce the records, O.C.G.A. § 50-18-70(f). If records are not subject to disclosure, the custodian must respond within three business days with citation of legal authority exempting such records, O.C.G.A. § 50-18-72(h). The custodian can amend or supplement a designation one time within five days of the discovery of an error. O.C.G.A. § 50-18-72(h).
